Basics of Quotes in Jobber
Quotes in Jobber allow you to manage business leads and keep track of how much you said you’ll charge for service. It’s not required that you use Quotes in order to use Jobber, but if you do use them, they serve as a great natural starting point for the end-to-end service relationship with your customers. By using Quotes you can track your Quoted against Invoiced amounts for Jobs, and cut down on duplication of data entry.
You can create a new Quote from a few different places throughout Jobber:
- The ‘Quick Create’ menu on the Dashboard
- The ‘Actions’ menu on a Client Summary
- The ‘Quotes’ page under the main ‘Work’ navigation section.
Creating a Quote
The following information can be specified on a Quote (see image above):
- Jobber will automatically increment the Quote ID for every new Quote. A Quote ID can be manually specified if desired, and Jobber will automatically start counting up from the new ID.
- These options allow you to specify what pricing information is included on the PDF version of the Quote that your customer will see.
- Rate your Quotes based on the likelihood that you will win it to help sort through and determine which are your most important leads.
- Override the Tax Rate for this Quote, include a discount, or specify that a Deposit is required before work will start.
- Select the services that should be included on the Quote. You can add more line items by clicking the ‘add line item’ button, remove line items by clicking the red button beside each one, and re-order them by dragging the handle to the left of each of them.
Choosing Line Items for the Quote
The Services, Products and Packages that you define in your Jobber Configuration will automatically be available in the line item drop down menus on Quotes, Jobs and Invoices, along with a ‘custom’ option for one-off line items.
You can hide items from the list and provide default unit costs in the Services & Products configuration section. Learn more in the Services & Products Documentation.
Past Pricing Reminder
Past pricing reminders will popup when you select a product or service that you’ve previously quoted or charged for.
Finding & Listing Quotes
The Jobber Quotes List can be found in the ‘Quotes’ area under the primary ‘Work’ navigation section.
The Quotes List shows you all the Quotes you’ve ever done for your customers, and can be filtered and sorted to show you only the Quotes you’re interested in (Drafts that were created in the past month for instance). The sorting and filtering options can be found directly above the Quotes List.
- Filter by Type: Show only Drafts, Sent Quotes, Quotes that were turned into Jobs, or Archived Quotes.
- Filter by Time Period: Show Quotes from This Month, Last Month, This Year, or from a custom date range.
- Sort Quotes by: Status, Quote Number, Client Name, Star Rating.
Blank Quote Sheets
Generate a Blank Quote Sheet by clicking the ‘Blank Quote’ button at the top of the Quotes List page. You can print out a handful of these in case you find yourself needing to write up a written Quote on site. Remember that you can also create Quotes directly from the Jobber mobile interface.
Acting on Quotes
Once a Quote has been created there are a number of actions that can be performed on it from the ‘Actions’ menu in the top right corner of the quote. A Quote can have one of three states that follow the typical lifecycle of a quote:
- Draft: Create a Draft Quote — Drafts has not yet been sent to the Client.
- Sent: Send the Quote to your customer — a Sent Quote has either been e-mailed to the Client from Jobber or manually marked Sent.
- Archived: Archive the Quote — Quotes are Archived when they’re converted into a Job, or manually marked as Archived.
Sending a Quote to a Client
When you’re ready to send the Quote to your customer you can print it, mail it and ‘Mark as Sent’, or click ‘E-mail to Client’ to have Jobber automatically e-mail it for you, which will also automatically mark the Quote as ‘Sent’. E-mailed Quotes will include a PDF attachment of the Quote.
When e-mailing a Quote to a Client from Jobber you’ll be given the option of providing a different e-mail address than what’s on file, CC’ing yourself a copy of the Quote, and changing the subject line and body of the e-mail. Convert Quote to Job and Archive Quote
Once the Quote has been sent to your customer and marked ‘Sent’ in Jobber the ‘Actions’ menu on the Quote will change slightly. At this point you will either Win the work, and ‘Convert to Job’ or Lose the work, and ‘Archive Quote’ so that it’s out of the way, but saved in the Client record. Converting a Quote to a Job will automatically archive the Quote.
You can e-mail an already sent Quote to your Client again at any time, and Archived Quotes can be Unarchived from their Actions menu.
Save Time by Reusing Quotes
If you provide the same service for the same customer frequently, save time by finding an old Quote you did for them and click ‘Convert to Job’ in the Actions menu. Even if the Quote has been Archived, a new Job will be created with the line item and price information from the original Quote.
